Privacy Notice for Comeet’s Job Candidates

Comeet Technologies Inc. and Dot Solutions Ltd., (“Comeet”, “we” or “us”) has prepared this privacy notice (“Notice”) for Comeet’s job candidates.

In connection with your job application and assessing you as a candidate, we have to process some Personal Data (as defined below). The purpose of this Notice is to give you information about the sorts of Personal Data we collect, process and use about you, and the circumstances in which we use it. “Personal Data” means any information that can be used, alone or together with other data, to uniquely identify any living human being and any information deemed as personally identifiable information by applicable privacy laws.

In addition, you will see a number of references to the “Comeet Group”, which includes all other Comeet entities globally. We may update this Notice from time to time. The new updates of this Notice will be available on Comeet’s website on this page, and if we make any material change to the use of your Personal Data in a manner different from that stated in this Notice, we will notify you by sending an email or by other means.

Important note: Nothing in this Notice is intended to limit in any way your statutory rights, including your rights to a remedy or means of enforcement.

1. What Personal Data do we collect and process?

We process the following information and Personal Data about you, including, without limitation, contact information, address, Curriculum Vitae (resume) information (such as, skills, work experience, education), notes submitted with the application, URL of your LinkedIn and other online profiles and websites, files that you submit (such as work samples or assignments), the position for which you are considered, the source who submitted your candidacy (e.g., recruiting agency, referral), email correspondences about your candidacy, information from references, events in the lifecycle of your candidacy, your responses to questionnaires sent to you by Comeet and to interview questions asked during the interview process, information about your candidacy and employment options (such as availability to be hired and salary expectations), evaluations of your candidacy (including, ranking of your fit for the role you were interviewed for), materials you or other parties submitted (such as, evaluators). Collectively "Candidate Data".

2. Why does Comeet need to collect and process my Candidate Data?

  • To receive, review and reply to your application.

  • To verify the information you or others provide, and to check your references.

  • To assess your suitability for the opportunity you applied for, and in certain cases, for other opportunities at Comeet.

  • To facilitate the interview/recruiting process.

  • To prepare an offer letter, if your application is successful.

  • If you were referred, to inform the referrer about the status of your application.

  • Where we have identified you as a potential candidate from information that we have collected from public sources, in order to suggest suitable opportunities for you at Comeet.

  • To stay in touch and engage with you for opportunities at Comeet we may consider you for current and future opportunities.

  • To maintain and improve our recruiting processes and technology, for internal planning and management reporting, and to comply with laws and regulations.

  • For background verification (to the maximum extent permitted by applicable laws).

  • For Comeet to perform and exercise its rights and obligations under employment law and/or because it is in Comeet’s legitimate interests in its role as prospective employer to verify who you are, that you can work for Comeet and that you are suitable for the specific role.

  • Any offer and commencement of employment is conditional on the verification, to the satisfaction of Comeet, of the information the candidate provides as part of their application and Comeet being able to obtain references with which it is satisfied. If the applicant receives and accepts an offer of employment with Comeet, it may be required for you to undergo pre-employment screening.

  • Comeet, a third party vendor, or an independent agent acting on behalf of Comeet, may verify the information provided by you and carry out further enquiries which may include, a CV check (e.g., to call your previous employers) and gap analysis, a verification of your highest education, a reference check, a proof of relevant qualifications check, a professional membership check, a media search (which may include social media, professional websites, and search engine searches).

  • To send the candidate assignments or tests. These could be sent directly by a Comeet employee, a third party vendor, an independent agent acting on behalf of Comeet or an assessment tool that Comeet uses.

  • To ask candidate for feedback about the interviews and other aspects of the hiring process.

3. What are the sources of my Candidate Data?

If you submit your application by email, or online, then you are the main source of the Candidate Data. In that case, you do not have a legal duty to provide the information, and providing it, is subject to your desire. However, the information is necessary for Comeet to consider you as a candidate for the position. In certain cases, your Candidate Data can be obtained from other sources, such as LinkedIn, recruitment agencies and/or headhunters and referrers.

4. How Comeet shares my Candidate Data?

Comeet may transfer your Candidate Data to third parties, including to entities within and outside the Comeet Group located in any jurisdictions, as follows:

  • Within the Comeet Group. As your Comeet employing entity is part of a wider group of affiliates, Comeet may transfer the Candidate Data to, or otherwise allow access to, other entities within the Comeet Group, which may use, transfer and process the Candidate Data in accordance with this Notice and applicable law.

  • Service providers and other relevant third parties. As necessary in connection with your candidacy process, communication contact details and other Candidate Data may be transferred to partners, suppliers, vendors and other third parties as appropriate for the particular processing activity (e.g., screening, background checks, etc).

  • Regulators, authorities, and other third parties. As necessary for the purposes described above, Personal Data may be transferred to regulators, courts, and other authorities (e.g., tax and law enforcement authorities), independent external advisors (e.g., auditors and legal advisors), directors within the Comeet Group, insurance carriers, benefits providers, internal compliance and investigation teams (including external advisers appointed to conduct internal investigations). We will share your Candidate Data with third parties where required by law, where it is necessary to administer the potential working relationship with you or where we have another legitimate interest in doing so.

  • Acquiring entities. We may share your Candidate Data with other third parties, for example in the context of the possible sale, restructuring or transfer, some or all of the business, shares or assets to a third party, we will disclose your Candidate Data to such third party (whether actual or potential) in connection with the foregoing events.

  • Bankruptcy. In the event that we are acquired by, or merged with, a third party entity, or in the event of bankruptcy or a comparable event, we reserve the right to transfer, disclose or assign your Candidate Data in connection with the foregoing events.

  • Professional advisors. We may share Candidate Data with our professional advisors such as lawyers and accountants where doing so is necessary to facilitate the services they render to us.

Some of the recipients with whom we may share Candidate Data, as described above, may be located in countries outside of your jurisdiction (including, Israel and the US). In such cases, we use commercially reasonable efforts to make sure that the recipients of the Candidate Data undertake to take sufficient measures to ensure the privacy of your Candidate Data.

5. How long will Comeet keep my Candidate Data for?

It is our policy not to keep Candidate Data for longer than is necessary. We may, for example, keep some of your Candidate Data for a reasonable time after you submitted your job application. Where Candidate Data is kept beyond the time that we normally would need to keep it, that period will be determined based on the applicable local law. If you are not hired by Comeet then any documents and information, including Candidate Data that was submitted to Comeet will be deleted, anonymized and/or pseudonymized after your written request or in accordance with Comeet’s internal policies and procedures.

6. What rights do I have in respect of my Candidate Data?

Depending on your location, you may have a number of rights in relation to your Candidate Data. Such rights can be summarized in broad terms as follows (for more details contact us):

  1. Right of access. You may have the right to request access to your Candidate Data processed and/or stored about you. If you want to submit this request, please do it in writing to hr@comeet.co. We do have to take into account the interests of others though, so this is not an absolute right.

  2. Right to rectification and erasure. You may have the right to rectify and/or request to erase inaccurate, outdated or incomplete Candidate Data concerning you. If you want to submit this request, please do it in writing to hr@comeet.co. Please note that in some circumstances, we may not be able to delete or erase your Candidate Data (partially or totally).
