Learn about the migration process from Lever to Recruit

Migrating your recruiting data from Lever to Recruit is simple and ensures your candidate database carries over seamlessly.

  • After migration, you can access CVs, personal details, and historical data from previous processes.

  • Recruit identifies duplicate candidates when they are added or reapply, providing you with visibility into their past processes and evaluations.

Before getting started

Before starting the migration, ensure you’ve obtained the following data from your Lever account manager:

  • candidates.presence.latest.csv

  • feedback.interviewCalibration.latest.csv

  • lever-support.interviews.interviewEvents.latest.csv

  • lever-support.non-consideration.feedback.latest.csv

  • non-consideration.postings.latest.csv

  • profile_cards.json

  • A folder containing candidates' CVs

Once you have the data, your Recruit migration specialist will schedule a kickoff meeting to guide you through the process and timeline.

Migration process

  1. Prepare files: After the kickoff meeting, organize and send the files to the Spark Hire Recruit Migration team.

  2. Test upload: The Migration Team will validate the data and upload a test batch of candidates to your Recruit account.

  3. Confirm accuracy: Your team will review and confirm the accuracy of the uploaded data.

  4. Final upload: After confirmation, the Migration Team will upload the remaining candidate data to Recruit. You’ll receive a notification when the process is complete.

Prepare files for migration

To ensure a smooth migration, prepare your files as follows:

  • Candidates' data: In the candidates.presence.latest.csv file, ensure each candidate has a first and last name (these are mandatory for uploading to Recruit).

  • Candidate status: Lever uses a different status model than Recruit. Use the Source conversion form to map the Profile Archive Reason column in candidates.presence.latest.csv to Recruit’s candidate status values.

  • Source type: Recruit tracks Source type in addition to Source name. Use the Status Conversion form to attribute the Source Type in Lever to the appropriate Sources values in the candidates.presence.latest.csv file.

⚠️ Important: If you only need to migrate partial data (e.g., by date, position, or location), remove any unnecessary rows from the candidates.presence.latest.csv file before sending it to the Migration Team.

How candidates are displayed in Recruit

Once your data is migrated to Recruit, it will be displayed as follows:

  • All candidates are added to a single position that represents the migrated data. You cannot upload candidates to specific positions or steps.

  • The position will be accessible only to the Recruit Account Owner. Additional access can be granted to teammates after delivery.

  • Candidate profiles will contain the following fields:

    • Name

    • Email

    • Application date

    • Status

    • Source

  • Other data, including interview evaluations, past positions, and internal comments, will be available in the Activity log of each Candidate profile. Scheduled but incomplete interviews are not included in the migration.
